HandRaisers Assignment Flow

How inbound leads from forms are qualified, routed, and handled by SDRs until AE handoff.

1. Overview

Inbound leads at Varsity Tutors for Schools (VT4S) come from all public-facing forms, including:

  • Pricing forms

  • PPC landing pages

  • Form calculators

  • Core transfer forms

  • Contact Us (main site form)

All inbound submissions are evaluated and routed exclusively to SDRs based on territory and persona (school admin vs. student/parent/tutor).


2. Lead Disqualification Criteria

  • Persona Routing Logic:

    • School Admin → Qualified → Routed to SDR

    • Parent / Tutor / Student → Disqualified → Routed to Sarah Rylot’s team via spreadsheet

  • If automatically disqualified, system actions:

    • Set Lifecycle Stage = Unqualified

    • Set Lead Status = Unqualified

    • Add to disqualified spreadsheet for Sarah Rylot’s team


3. Inbound Flow (For Qualified School Admins)

  • Automated Field Assignments
    • HandRaiser = Yes

    • Record HandRaiser Date

    • Assign SDR via territory workflow

  • Internal Notifications

    • SDR receives email + in-app notification

    • System sets Assignation Date


4. Meeting Handling Logic

  • Step 1: HandRaiser Meeting Booked?
    • Yes

      • System sends confirmation email

      • SDR owns the lead (no deal creation yet)

      • 10 minutes after meeting end → contact is enrolled in Hot Inbound Sequence

    • No

      • Systems sends an email inviting the contact to book an intro call.
      • Contact is enrolled in Hot Inbound Sequence  immediately for easier SDR follow up. 

  • Step 2: Handoff Meeting Loop
    • After the intro call:

      • If AE Handoff Booked (via shared link)

        • → ✅ Deal created automatically

      • If Not Booked

        • → ❌ Deal creation delayed until handoff meeting occurs

 

5. Tips & Best Practices

  • 🔔 Monitor HandRaiser = Yes via SDR dashboards or assignment emails.

  • 🏫 If no company association at handoff meeting time → system retries deal creation in 24 hours.

  • 📅 Use meeting types correctly:

    • Intro Call → first SDR contact

    • SQL Handoff → AE transition

6. Troubleshooting

🔁 Got assigned an inbound lead that isn’t a school admin? Check persona selection. If incorrect, reassign via RevOps.

Didn’t get an inbound notification? Verify the contact field "HandRaiser = Yes" and HandRaiser Date or double check your in-app notifications.
