SDR Meeting Link Usage Guide

All Intro + SQL Handoff links for Claire, Shyanne, and Madison — and when to use each (Intro call -individual- vs. AE handoff -group- meeting).

SDRs at VT4S use specific meeting types to categorize different kinds of prospect interactions. The meeting type selected plays a critical role in triggering downstream workflows, such as:

  • Deal Creation (SDR Sourced Deals)
  • SDR Meetings Booked vs. Meetings Held Reporting
  • Contact Sequence Unenrollment

    This guide lists all SDR meeting links and explains when to use which link to ensure HubSpot automation (deal creation, ownership, tracking) works correctly. 

    There are three primary SDR meeting types.


    1.1 Meeting Type: SDR HandRaiser Intro Call

    • SDR Booked – Intro Call (No Deal Creation)
      • Purpose: First call with inbound contacts who booked via the “Contact Us” form.

      • Links: See below the individual meeting links

      • What happens in the system:
        • ❌ No deal is created
        • ❌ Contact is not automatically unenrolled from sequences
        • ✅  SDR gets notified on new Inbound assignment
    • Associated workflows:
      • SDR Handraiser - Intro Call

    1.2 Meeting Type: Intro Call

    • SDR Booked – Intro Call (No Deal Creation)
      • Purpose: First call with prospect (pre-qualification).

      • How it works:

        • Auto-applied when using default SDR links (prospecting agent)
        • Link is also stored in the CRM field: SDR Meeting Link on the contact record
      • Links: See below the individual meeting links

      • What happens in the system:
        • ❌ No deal is created
        • ✅ Contact is unenrolled from active sequences
        • ✅  SDR gets notified on new Intro Call Booked
      • Associated workflows:


    1.3 Meeting Type: SDR Meeting Booked – Event

    Used when: trying to get a group of districts together for something, usually after hours at a conference or something similar. 

    • SDR Booked – SDR Meeting Booked – Event (No Deal Creation)
      • Purpose: First call with prospect after an event (pre-qualification).

      • How can this meeting be booked:

      • Links: there are no meeting links created for this type of call, meeting must be booked manually. 

      • What happens in the system:
        • ❌ No deal is created

      • Associated workflows:


    1.4 Meeting Type: SDR Booked – SQL HandOff

    For every AE, we list all three SDR pairings. If territories are shared, they’re listed. If none are shared, we still show the correct booking link and mark “No territories shared.” If a pairing has no link on file, escalate in #sdr-team-hubspot-and-systems on Slack.

    4. Meeting Booking Flow Summary

    Visual Summary:

    • Sequences and forms book Intro Calls
    • Shared links and manual bookings generate SQL Handoff meetings
    • Deal creation is conditional on company association & SQL Handoff meetings
    • If no company: SDR notified → loop retries deal creation

    5. Quick Rules Recap

    ✅ Use Intro Call links for first meetings only (no deal created).

    ✅ Use AE + SDR SQL Handoff links for all qualified handoffs, group calls, and AE-led meetings (deal created).

    ❌ Never use another SDR’s link.
